Our Policies
Missed Appointments and Cancellations
We hold each appointment time for your child. If you need to cancel or reschedule, please give us at least 24 hours' notice so we can offer that time to another family. Appointments canceled with less than 24 hours' notice, or missed without notice, are subject to a $50 fee. If something comes up and your child misses a visit, call us. We will work with you to get them back on the schedule.
Medical Records
Through the My Kid's Chart patient portal, you can view and download your child's visit summaries, immunization records, lab results, and growth charts anytime at no charge. For most needs, including sharing information with a specialist, the portal has what you're looking for.
If you need a complete copy of your child's chart transferred to another practice, contact our office. A full chart includes every document, note, and record in your child's file, so we prepare it on a secure encrypted drive with the access key delivered separately. There is a $35 fee for this service, which covers preparation, secure media, and delivery. Just let us know where the records should go and we'll take care of the rest.
Privacy Policy
The Pediatric Group is committed to protecting your child's health information. Our Notice of Privacy Practices explains how we use and disclose that information, your rights regarding it, and how to reach our Privacy Officer with questions. A full copy is available at our office and below.
Financial Policy
Clear communication about cost is part of good care. Here is what you can expect from us, and what we ask of you.
What you can expect from us
We will be courteous, professional, and candid about your account.
We will keep your financial information confidential, as required by HIPAA.
We will file your child's insurance claim promptly and accurately, usually the next business day.
We will bill only for services rendered. If we find an error, we will correct the claim and refund your carrier as needed.
We will follow up actively to resolve unpaid claims.
We accept cash, check, and debit or credit card (Visa, Mastercard, and Discover).
What we cannot do
We cannot determine which services your plan counts as covered benefits.
We cannot resolve a dispute between you and your insurance carrier.
What we ask of you
Pay any copay, coinsurance, or deductible at the time of service. Whoever brings the child to the visit is responsible for payment at check-out. We cannot mediate payment disputes between divorced, separated, custodial, or non-custodial parents.
Give us correct insurance information, and update it promptly when it changes.
Know which services your plan covers.
Respond promptly if your insurer asks you for information, so your claim is not delayed.
If your insurer pays differently than you expected, contact them first, then us.
Pay any patient balance when requested at check-out or on your first statement. If you can't, contact us promptly and we will set up a payment arrangement that works.
